Job Overview

We are seeking a highly organized and proactive Administrative/ Personal Assistant to join our team. The ideal candidate will provide essential support to our CEO and office operations, ensuring efficiency and effectiveness in daily tasks. This role requires a blend of administrative expertise, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Duties

  • Provide executive administrative support, including calendar management and scheduling appointments.
  • Coordinate events and meetings, ensuring all logistics are handled smoothly.
  • Manage office operations, including filing, data entry, and clerical tasks.
  • Utilize programs for bookkeeping and financial record management.
  • Provide oversight for multiple properties.
  • Assist with project coordination by tracking progress and deadlines.
  • Maintain organization of documents using Google Workspace and Microsoft Office applications.
  • Proofread and transcribe documents to ensure accuracy and clarity.
  • Offer customer service support, addressing inquiries and assisting vendors.
  • Perform additional duties as assigned to support various objectives.

Requirements

  • Proven administrative experience with a strong background in office management.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with bookkeeping software is preferred.
  • Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
  • Strong typing skills with attention to detail for accurate data entry and transcription.
  • Excellent phone etiquette and interpersonal communication skills.
  • Experience in event planning and project coordination is a plus.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • Previous personal assistant experience is advantageous but not required.
  • Familiarity with Microsoft Outlook Calendar for scheduling purposes is beneficial.
